How to manage user groups
Who can create a group in passbolt?
Only a passbolt administrator can create groups. When creating a group, the administrator selects the initial members and must appoint at least one group manager.
What is the difference between a group manager and group member?
The group manager is a group member who can add and remove members of the group, and promote other members to group manager. No more, no less.
It is possible for a group member to share a resource they own in "read-only" mode with the group. Group managers don't have extra rights to edit resource ownership.
How do I add or remove group members?
Only group managers can add members to a group. To manage the members of a group where you have the group manager role:
- Select ⚙ > Manage Users & Groups in the top right corner
- In the Groups section of the sidebar, right-click on the group, or hover over it and click its ... button, then select Edit
- In the Edit group dialog, add people using the search field, change a member's role between Member and Group manager, or remove members
- Click Save
Multiple group managers can be assigned, and every group must keep at least one: passbolt will not let you remove or demote the last group manager.
What can an administrator do in a group they do not manage?
Administrators can rename a group, delete it, remove members, and change members' roles between Member and Group manager, all without being a member of the group.
What the Admin role does not grant is adding members. Adding someone to a group means decrypting each secret shared with the group and re-encrypting it for the newcomer, and only someone with access to those secrets can do that. For an administrator who is not a group manager, the Edit group dialog hides the add field and shows "Only the group manager can add new people to a group."

How do I recover a group whose only manager is unavailable?
If the only group manager of a group has been suspended or has left the organisation, the group can no longer gain new members: a suspended manager cannot sign in, and administrators cannot add members. To recover:
- If the group has other members, an administrator can promote one of them: open the Edit group dialog, change the member's role to Group manager and save. The unavailable manager can then be demoted or removed the same way.
- If the unavailable manager is the only member, there is nobody to promote. Either reinstate the manager (untick Suspend this user in their user settings), or delete their account: deleting a user also deletes the groups in which they were the only member. You can also delete the group and create a new one.
Both deletions are destructive: deleting the user or the group also deletes any passwords that were only accessible through them. Reinstating the manager, even briefly, is the only option that preserves everything. If you delete, do it from the user or group deletion dialog so passbolt can prompt you to transfer ownership of shared items first.
